Outlook Search Not Working: Fix Missing Results

Short answer: In classic Outlook for Windows, search relies on Windows Search indexing. If the index is incomplete, results go missing.

TL;DR: quick fix
  1. Run the Windows Search troubleshooter: Windows 11 Settings > Privacy & security > Searching Windows > Indexer troubleshooter (Windows 10: Settings > Update & Security > Troubleshoot > Search and Indexing).
  2. In new Outlook, use search filters or set the scope in Settings > General > Search; older items may be hidden when there are many results.
  3. In Outlook, click in the search box, then Search Tools > Indexing Status to see items remaining.

Is Outlook down?

Before you change settings, check Microsoft 365 Service health. If there's an outage, wait it out.

How to fix it: step by step

  4. Open Windows Settings and search for "Indexing Options". Make sure Microsoft Outlook is listed as an included location.
  5. In Indexing Options choose Advanced > Rebuild. Rebuilding can take hours on a large mailbox.
  6. Install the latest Office and Windows updates.

FAQ
